Fields update

Field Update Templates allow admins to define which CRM fields users can update directly from Weflow.

These templates ensure that your team captures the most relevant deal, account, or contact information in a structured, efficient way—without switching between multiple tools. Here's a step-by-step video guide on field updates.

Step 1: Access Field Updates

  1. Go to the Admin Console.

  2. Select Field Updates from the menu.

    • Here, you can view, edit, or create templates for managing CRM field updates.

    • Each template can be tailored for a specific object type (e.g., Opportunity, Account, Contact).

Step 2: Add a New Template

Click + Add New Template, then select the Object Type you want the template to apply to.

  • Examples: Opportunity, Account, or Contact.

Step 3: Choose the Fields

After selecting your object type, choose the fields you want included in the template.

  • Weflow will automatically display all eligible fields—including both standard and custom fields from your CRM.

  • You can select as many fields as you need.

    • 💡 Tip: For optimal usability, we recommend keeping it below 10 fields per template.

    • If you require more than 10 fields, consider creating multiple templates for easier navigation and better focus.

Supported Field Types:

  • Short Text

  • Long Text

  • Currency

  • Number

  • Date

  • Date/Time

  • URL

  • Picklist

  • Multi-Select Picklist

  • Percent

  • Email

  • Checkbox

  • Geolocation

  • Phone

  • Time

Step 4: Add Prompts for Each Field

For each selected field, you can either:

  • Write your own prompt to guide the AI in how to extract or interpret the value, or

  • Select a pre-built prompt from Weflow’s prompt library.

Best Practices:

  • Keep prompts short and concise (maximum 500 characters).

  • For Picklist or Multi-Select Picklist fields, ensure you include eligible values for optimal accuracy.

  • The AI is designed to interpret your intent and extract data based on your instructions, so clarity is key.

Step 5: Assign the Template to Teams

Once your template is complete:

  1. Click Save.

  2. Assign it to one or more Teams.

    • Only the teams you select will be able to view and use the template.

    • You can assign a single template to multiple teams if needed.

Manage Existing Templates

At any time, return to the Field Updates section to:

  • Edit or refine existing templates

  • Duplicate templates for other object types or teams

  • Remove templates that are no longer in use
