Recording Zoom meeting organized by another person

Zoom requires a host or co-host to approve a meeting recording. This is a setting that cannot be circumvented and is inherint to Zooms' requirement for secure and compliant use of call recordings.

Approve/Decline Process

Before a recording can take place, Zoom will show this message to all meeting hosts and co-hosts:

The hosts or co-hosts need to apporve the message in order for the notetaker to start recordig the meeting.

Ideal Settings in Zoom

If you have other people e.g. SDRs/BDRs organize a meeting for users in your organization, it is imperative that you give these users co-host rights and/or the ability to request/approve the notetaker permission.

There are two key permissions users need to have:

  • The ability to admit a notetaker into a meeting

  • The ability to allow a notetaker to record a meeting

Auto-Join Meetings

We do not recommend to let external users (incl. the Weflow Notetaker) automatically join a meeting. Ideally, you have a waiting room configured where you can hold off the notetaker and only admit them when you actually want to record the meeting.
