Introduction to Weflow Activity Capture


What is Activity Capture?

Activity Capture automatically logs your team's sales activities — emails, calendar events, and meetings — directly to Salesforce. It eliminates the need for manual updates and ensures your CRM always reflects the latest customer interactions.

Once connected, Weflow continuously syncs:

  • Emails sent and received with leads, contacts, accounts, and opportunities

  • Calendar meetings (including meeting titles and participants)


Which mail services does Weflow support?

  • Google Workspace

  • Microsoft 365


How does it work?

Weflow connects to your mail service at the server level and reviews emails and events based on the email addresses of the people you are communicating with. It then matches those activities to the relevant Salesforce records.


Are internal emails and meetings logged?

No. Weflow has exclusion rules built into your Activity Capture configuration that block any emails or events where all participants are from your own domain.


How does Weflow decide what to sync?

Weflow only logs activities that can be matched to a relevant object in Salesforce. If it cannot find a match, it assumes the activity is not business-relevant and does not log it.

Example: If an email address cannot be matched to a contact, lead, or account in Salesforce, nothing is logged.


Underlying rules

Emails and meetings

  • Incoming and outgoing messages are treated equally

  • No activity is logged if all recipients or senders are on internal domains only

  • Weflow creates one parent event per meeting; Salesforce creates child events for each attendee

Opportunities

Activity is logged to an Opportunity if:

  • The opportunity is open, and

  • The contact is set as a contact role, or

  • It is the only open opportunity under the parent account

Weflow does not log to an Opportunity if there are multiple open opportunities under the same account.


Can I review or control logging for a specific email or activity?

Yes. Weflow offers a Chrome Extension and an Outlook Add-In that let you review and manually control what gets logged.
