3-Minute Tutorial:
How is access to recordings defined?
Access to recordings is defined by the Salesforce hierarchy.
A manager can access recordings of users who report into them.
End-users can access their own recordings, meaning recordings that they participated in by being on the calendar invite.
Providing access via 'Teams'
On the second screen of a 'Team' configuration, admins can provide access to all recordings and recording-related insights to specific users.
Simply select the users (within or outside of Salesforce) from the dropdown.
Before a user outside of Salesforce is shown as a viable option on the list, they need to be added to Weflow with a View-Only license.
Admins can access Teams here.
Providing access via a custom 'Weflow Hierarchy'
Admins can define a custom hierarchy in Weflow.
This hierarchy overrides any hierarchy as defined in Salesforce.
Use the drag & drop system to create a cascading hierarchy.
Admins can access the custom hierarchy system by going to the Team page in the admin console (here) and then by selecting the Hierarchy tab at the top of the page.
Giving access to recordings of colleagues on the same team
When using Weflow's custom hierarchy system, admins can define that all colleagues within a team have access to each others recordings.
This can be controlled by the feature flags at the top.
Setting this feature to true (blue color), will give users in the same Weflow team access to each others recordings.
