How to install the Outlook add-in

Installing the Weflow Outlook Add-in for Your Users (Admin Deployment)

The Weflow Activity Capture add-in for Outlook lets your team log emails from Outlook directly to Salesforce. We recommend that a Microsoft 365 administrator deploys the add-in centrally so all users get it automatically, without any manual installation.

Prerequisites

  • You need a Microsoft 365 admin role that can deploy add-ins (Global Administrator or Exchange Administrator).

  • Your users need Microsoft 365 Business or Enterprise licenses with Exchange Online mailboxes and must be signed in to Office with their organizational account.

  • Your users need an active Weflow license and Salesforce credentials.

Deployment Steps

  1. In the left navigation, select Show all, then Settings > Integrated apps.

  2. Select Get apps to open the Microsoft Marketplace.

  3. Search for Weflow Activity Capture and select Get it now. Alternatively, open the add-in directly via this Marketplace link.

  4. In the deployment wizard, choose who should receive the add-in:

    • Everyone deploys it to all users in your organization.

    • Specific users/groups deploys it to selected users or Microsoft Entra groups (recommended: use a security group containing your Weflow users, e.g. your sales team).

    • Just me deploys it only to you, useful for testing before a broader rollout.

  5. Set the deployment method to Fixed (see the section below, this is the recommended setting).

  6. Review the requested permissions and accept them.

  7. Select Deploy. A green checkmark confirms the deployment.

Important: Enforce the Installation with "Fixed" Deployment

This is the most important setting in the deployment. Microsoft offers three deployment methods:

  • Fixed (recommended): The add-in is installed automatically for all assigned users and they cannot remove it.

  • Optional: The add-in is installed automatically, but users can remove it themselves.

  • Available: The add-in is not installed automatically. Users have to install it manually via Home > Get More add-ins > Admin-managed.

We strongly recommend Fixed. Weflow's activity capture only delivers complete, reliable data in Salesforce if the add-in is present for every user. With Optional or Available, individual users can end up without the add-in, which creates gaps in email logging that are hard to detect and impossible to backfill.

You can change the deployment method later under Settings > Integrated apps by selecting the add-in and editing its settings.

Rollout Timing

It can take up to 24 hours for the add-in to appear in your users' Outlook. Users may need to restart Outlook. The add-in works in Outlook on the web, the new Outlook for Windows, classic Outlook for Windows, and Outlook for Mac.

What Your Users Need to Do

  1. Open Outlook and locate the Weflow add-in (via the ribbon or the Apps button).

  2. Sign in with their Salesforce credentials. If your organization uses SSO or a third-party provisioning solution, users are automatically directed to the correct login page.

  3. Signing in to Salesforce automatically establishes the connection with Weflow. No further setup is required.

  4. Optional but recommended: pin the add-in in Outlook for a consistent email logging experience.

Recommended: Phased Rollout

For larger organizations, we suggest deploying in stages: first to a small pilot group (e.g. IT plus a few sales reps), then to the full sales team, then organization-wide. You can change the assigned users at any time under Settings > Integrated apps by selecting the add-in and editing the Users tab.

Managing or Removing the Add-in

Admins can enable, disable, reassign, or remove the add-in at any time from Settings > Integrated apps in the Microsoft 365 admin center. Removal can take up to 24 hours to reflect for all users.

Troubleshooting

  • Add-in not appearing after 24 hours: Ask the user to restart Outlook and confirm they are signed in with their organizational Microsoft 365 account.

  • User can't sign in: Verify the user has an active Weflow license and valid Salesforce credentials.

  • Deployment blocked: Ensure the deploying admin has Global or Exchange Administrator rights and that user assignment matches any previously deployed linked apps.
